Campus Accountability Report (CAR) 2013

Due to the high volume in accessing and completing the 2013 Campus Accountability Report (CAR), you may encounter periods of delayed response. During this period of high volume, please follow these guidelines:  

  • Do not refresh or open multiple browsers, as this will only extend the delay in response.
  • When you are done entering data, please make sure that you log out of the CAR.
  • Multiple users from the same institution should not access a CAR at the same time.
  • The system only accepts Word, Excel and PDF documents and each document cannot exceed 20 MB.
  • Changes to program information (i.e. CIP Codes, program names, additions or deletions) take 24 hours from receipt that your request has been completed before they will display in your CAR.

In accordance with Section 2-1-801 of the Accreditation Criteria, all ACICS main and additional location campuses are required to submit a Campus Accountability Report (CAR) each year for the July 1- June 30 reporting period. The CAR is due on or before November 1 annually and must be submitted online.

The CAR report contains program-level and campus-level data and is used to monitor performance in terms of student achievement at both levels. Measures include retention; placement; and licensure, registration or certification pass rates, if applicable. To complete and submit the CAR, please follow the two-step process described below. 

Step One
Adjust the list of ACICS approved programs, if necessary

Open the 2013 CAR and check the list of approved programs in the navigation menu on the left-hand side. To open the report, simply log into the campus’ ACICS member portal account using the member portal login credentials. TO ADD A PROGRAM – If a program approved by ACICS prior to June 30, 2013 does not appear, email with “Program Addition Request” in the subject line. Include in the message the approved program name and attach the following: 

  • ACICS approval letter and, where relevant, 
  • State approval letter

All ACICS-approved programs will be added to the list by ACICS as soon as possible so that you can then enter enrollment data.

TO DELETE A PROGRAM – If an approved program appears but was discontinued prior to July 1, 2012, email with “Program Deletion Request in the subject line. Include in the message the following: 

  • Name of the program 
  • Credential level 
  • Total credits awarded 
  • Total clock/contact hours, and 
  • Official discontinuation date (no active students enrolled in the program), which must have been before July 1, 2012.

Step Two
Enter data in the program and campus reports

Please enter and save data in the program and campus reports. Please consult the revised 2013 CAR Guidelines and Instructions on the ACICS website for information on interpreting questions, defining data, and navigating the form. If the prepopulated Program Measurement Information is incorrect, please enter the correct information in the appropriate field(s) provided below the pre-populated information and submit the appropriate program change approval form. If the current information is correct, no additional entry is required. When program and campus data entry is complete and correct, please submit the report.

Online Submission of Reports
All accredited main and additional location campuses which were accredited during the reporting period (July 1 through June 30) are required to file the Campus Accountability Report and supporting documentation online. 

 Retention and Placement Information
ACICS will determine average retention and placement rates annually for campuses, based on information collected in the Campus Accountability Report and will provide this data to all accredited campuses in the Key Operating Statistics (KOS) report. 

 Student Achievement Review 
ACICS will apply student achievement standards to data collected through the Campus Accountability Report. The student achievement standards are described on the website under the Accreditation tab. Campuses whose retention or placement rates fall below the ACICS compliance standard are restricted from beginning a new program and/or a non-main location without first securing permission from ACICS.  

Verification of Placement Information 
ACICS is developing a Placement Verification Program to enhance its current review of placement data and provide comprehensive independent verification of self-reported placement rates.  The program is based upon the Council’s definition of placement.

 Request to Waive Restrictions
If a campus is applying for a waiver request to initiate a new program(s) and/or a nonmain location(s), and the campus is currently on retention and/or placement reporting, the information must be submitted at least 30 days prior to a Council Meeting.

 Backup Documentation
Campuses are required to keep appropriate back-up data to verify the ACICS Campus Accountability Report. During all scheduled and unscheduled evaluations, campuses will be asked to produce this information.
